What personal data we collect and why we collect it

Member Registration Form

When visitors visit our site, we collect the data you enter on the form, and the information you save in the form to fill in at a later date to enable you to complete the eligibility and registration form in full. We also store the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your registration, a copy of your registration form is emailed to info@m3jobclub.co.uk for entry onto the M3 Job Club database.

Contact Us

When you visit our site and wish to make direct contact using our email address, we store your email in order to respond and refer to your query. Should you contact us by phone, your voice recorded message, attached in an email may be stored leaving your contact details.

Cookies

These are for your convenience so that you do not have to fill in your details again when you save your pre-filled form and wish to return to the site to complete the form at another convenient time. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Analytics

M3 Job Club uses Google Analytics to capture basic information on who visits our site and the data is stored on the Google Analytics site for reporting purposes.

Who we share your data with

Data is only shared within M3 Job Club, if required. For example, if you wish to book a course, or contact one of the trustees or our presenters and email a request. M3 Job Club do not share information without your permission or approval at the outset.

Anonymised data is utilised for reporting for grant purposes.

For website use, our IT partner may need to access or receive data to resolve a technical issue involving your login or access to the site.

We use MailChimp as our marketing automation platform. By clicking below to submit this form, you acknowledge that the information you provide will be transferred to MailChimp for processing in accordance with their Privacy Policy and Terms.

How long we retain your data

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

We will retain this data as long as you are a Job Club member and we have a legitimate interest to retain your data in order to deliver work seeking advice and help. Once you have found a role or have decided to leave the club, a request will be sent to you to opt in to remain on our database or your details will be removed after 3 months.

For pre-filled forms, we will store the data on our site for 30 days where after this will automatically be deleted.

What rights you have over your data

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Emails and registration data may be checked through an automated spam detection service. M3 Job Club use Microsoft Office365 for its email service.

We also use Dropbox to hold a copy of registration forms and our database that is secured to M3 Job Club approved trustees or staff only.

Additional information

How we protect your data

We use Microsoft Office365 that is compliant with European IT and data privacy regulations and Dropbox, which is compliant to ISO 27018. Data is restricted to trustees and staff only.

What data breach procedures we have in place

Should we identify or be notified of a data breach, we will notify you within 36 hours (of M3 Job Club hours) of that breach and the actions we will be taking to rectify the situation.

What automated decision making and/or profiling we do with user data

As part of the pre-eligibility checks for anyone who wishes to benefit from our services, we use business logic on the site to validate if someone seeking to join the Job Club is eligible. Any successful requests will automatically email the responses to the Administrator who will then decide if to approve the registration request.

This site utilises caching in order to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the admin before their natural expiration, if necessary.
